Study Melbourne is a Victorian Government initiative that provides support and information to international students to help them have the best possible experience while living and studying in Victoria as well as promote Victoria as a high-quality study destination.

Study Melbourne Ambassador Program 2025 Terms & Conditions
1. These terms and conditions govern the applicant’s (“Applicant”/ “You”/ “Your”) application and, if accepted, participation in Study Melbourne’s Ambassador Program (“the Program”) conducted by the State of Victoria as represented by Study Melbourne (“Study Melbourne”/ “We”/ “Us” / “Our”), which is more particularly described in the Study Melbourne Ambassador Program 2025 Role Description.
2. You agree that Your application constitutes an offer to Study Melbourne to be a Study Melbourne Ambassador (“Ambassador”). By submitting an application, You accept and agree to be bound by these terms and conditions.
3. In the event We accept Your Application, We will issue an email of acceptance confirming Our acceptance of Your Application. If this occurs, an agreement is formed between You and Study Melbourne which comprises:
(a) the email of acceptance;
(b) these Study Melbourne Ambassador Program 2025 terms and conditions; and
(c) the information supplied by You in Your application.
4. In the event of inconsistency, the order of precedence set out above will apply.
5. The Agreement commences on the date the Recipient acknowledges receipt of the email of acceptance.
6. We may update and change any or all of these terms and conditions from time to time in Our sole discretion. We will inform You of such changes to these terms and conditions by email. Your continued participation in the Program after notification shall constitute Your acceptance of such changes. It is Your sole responsibility to ensure that We have Your current email address.

8. Who can apply
Tertiary students who meet the following criteria are invited to apply to the Study Melbourne Ambassador Program 2025:
(a) Are at least 18 years old
(b) Are an international student enrolled in a Victorian tertiary institution (university, TAFE, private college) for the academic year 2025
(c) Will be located in Victoria until the end of 2025
(d) Will be available for minimum 5 hours per month from March to December 2025
(e) Have / or be willing to apply for a Working with Children Check (volunteer category)
9. Ambassador Responsibilities
9.1 Ambassadors must:
(a) Attend an induction session at the start of the Program.
(b) Complete mid-program and final evaluation
(c) Attend professional development training sessions assigned by Us
(d) Complete a minimum of 5 hours per month of volunteer time from March to December 2025, on the following:
9.2 Ambassador’s responsibilities include:
- Representing Study Melbourne, speaking at public events and attending official functions
- Supporting the planning and delivery of Study Melbourne student events, services and activities, both virtually and in person
- Providing insights and feedback for the Study Melbourne team, relevant government bodies and external suppliers on issues, trends, and opportunities for international students
- Participating in consultative groups to inform and co-design student programs
- Supporting the growth of Study Melbourne’s community and social media channels
- Sharing Your Ambassador experience across social media channels to drive engagement with the international student community.
10. Requirements of the Program
10.1 Capability
Your involvement in the Study Melbourne Ambassador Program is dependent on the capacity You have to fulfil the requirements and responsibilities of an Ambassador, as determined by Study Melbourne from time to time. This includes the ability to communicate, lead, engage and provide benefit to the Study Melbourne community.
10.2 Commitment
The commitment required for the Study Melbourne Ambassador Program is a minimum of five hours per month from March to December 2025. The Program requires its Ambassadors to be located in Victoria until the end of 2025. Throughout the period there will be several events and professional development (PD) sessions for Ambassadors to attend. It is a requirement that You attend a minimum of 80 per cent of all allocated events. If You are unable to attend, You are required to give at least three working days’ written notice to info@studymelbourne.vic.gov.au.
10.3 Social influence
For Study Melbourne to maximise exposure of Your involvement in the program, appropriately credit You for content and monitor online activity in relation to the Program, You must supply Us with links to all Your public social media accounts and names of Your handles should You be selected as a Study Melbourne Ambassador.
10.4 Ambassadors are required to conduct themselves in accordance with the Program’s core values, which are to:
- lead with humility
- exercise commitment
- respect every person (irrespective of cultural, racial, religious, age, gender, sexual orientation and disability differences)
- embrace diversity of the whole community.
10.5 Ambassadorships are volunteer-based opportunities and shall in no way be deemed to constitute You as an agent or employee of Study Melbourne and You will not have any authority to incur and must not incur any obligation or make or purport to make any representation on behalf of Study Melbourne, unless with Our prior written approval to do so. We do encourage You, however, to publicly disclose Your involvement in the Program as an Ambassador (both online and offline), including by adding the title “Study Melbourne Ambassador” to Your social media profiles (for example, Twitter Instagram and LinkedIn profile), so that people can connect with You.
10.6 Study Melbourne makes no representation or warranty as to the benefits to You of participating in the Program. No remuneration, reimbursement or other payment will be made to You as part of Your participation in the Program.
11. Selection of Study Melbourne Ambassadors
11.1 Up to ten (10) 2025 Study Melbourne Ambassadors will be appointed for the period March 2025 to December 2025 to participate in the Program. Study Melbourne will select and approve Ambassadors from the eligible pool of applications received by 19 January 2025. No warranty or representation is made that Your application will be approved.
11.2 If You are approved to participate in the Program as an Ambassador, You will be notified by email. Approval of Ambassadors is at Our absolute discretion and We reserve the right to not approve any application without being obliged to discuss the reasons for doing so.
12. Proof of eligibility
As part of the application, You will be asked to supply supporting documentation to evidence Your enrolment at a Victorian educational institution. Such evidence can include current student ID card or proof of enrolment.
13. Conduct of Ambassadors
13.1 By accepting the role of an Ambassador, You agree that in Your application and in connection with Your Ambassadorship:
(a) (What Ambassadors must do) You will:
(i) ensure that any information You provide to Study Melbourne is true and correct;
(ii) act in accordance with the Role Description in all conduct both online and offline;
(iii) act in accordance with any applicable third-party terms and conditions (for example any relevant terms and conditions applied by the operator of a social media platform); and
(iv) advocate on Study Melbourne’s behalf when carrying out the Ambassador Responsibilities.
(b) (What Ambassadors must not do) You will not:
(i) publish or disseminate false or misleading information; or
(ii) act or engage in any conduct which may bring the Program, Study Melbourne or the State of Victoria into disrepute.
14. Creation and use of imagery/video and content as part of the Program
14.1 If requested by Us, You agree to remove or modify all content created by You as an Ambassador including without limitation stories, commentary, imagery, video and audio content (“Content”) to comply with applicable laws and government policy.
14.2 You must ensure that Your role as an Ambassador is clearly disclosed when endorsing Study Melbourne or publishing any Content as an Ambassador.
15. Intellectual Property Rights
15.1 The ownership of any Content and intellectual property rights therein, including copyright, neighbouring rights, registered and unregistered trademarks and all other proprietary rights resulting from intellectual activity in the literary or artistic fields, (“Content Intellectual Property”) shall vest in You upon the time of its creation.
15.2 You hereby irrevocably and unconditionally grant to Us, free of charge, a, non-exclusive, worldwide, perpetual, transferable licence (including the right to sublicense) to use, reproduce, adapt, modify, publish, distribute and communicate any Content Intellectual Property for any purpose of the State except commercial exploitation. This licence will survive the termination or expiration of Your Ambassadorship.
15.3 You warrant to Us that You are entitled to use and deal with any intellectual property rights which may be used by You in connection with the Program. You warrant to Us that You have the authority to sub-license the Content Intellectual Property, including any third party intellectual property rights which may be used in connection with the Program.
15.4 You warrant to Us that You will use Your best endeavours to procure a written consent from all necessary authors to Us exercising Our rights to use the Content Intellectual Property in a manner that, but for the consent, would otherwise infringe the moral rights of those authors.
16. Use as part of the Program
16.1 For the avoidance of doubt, all Content may be used online and offline and may be shared by Study Melbourne on Our social and digital channels. Content may also be used for Study Melbourne promotional activity in the future. Further, any images or video footage compiled at Study Melbourne events may also be shared online and offline for promotion of Study Melbourne’s activities and the Program.
16.2 Study Melbourne may use or allow the use of Content for purposes including, but not limited to, the following:
(a) Study Melbourne promotion, including use of the Content on social media channels, websites, newsletters, email signatures, and the Study Melbourne Hub;
(b) targeted Facebook advertising;
(c) City of Melbourne promotion, including use of the Content on social media channels and newsletters;
(d) promotion of Victorian educational institutions;
(e) promotion on Australian Government ‘Study Australia’ channels; and
(f) promotion on local media.
17. Release and Indemnity
17.1 Study Melbourne will not be liable for any loss (including, without limitation, any consequential or indirect loss), cost or damage, personal injury or death which is suffered (whether or not due to the negligence of any person) in connection with Your participation in the Program, except for any liability which cannot be excluded by law (and, if so, that liability is limited to the minimum permitted by law).
17.2 You release and indemnify Us and Our officers and employees from and against liability for or in respect of any physical injury to persons (including death), damage, loss or expense in so far as the injury, damage, loss or expense is attributable to action or omission of You in connection with Your participation in the Program. This indemnity and release will survive the termination or expiration of Your Ambassadorship.
18. Confidentiality
18.1 From time to time, We may disclose to You confidential information regarding Our activities (“Confidential Information”). You agree that such Confidential Information is and will remain the property of Study Melbourne. You agree that You will not disclose Confidential Information without Our consent, and will not use any Confidential Information, except:
(a) for any purpose other than in the pursuit of Your activities as an Ambassador;
(b) where the information disclosed is already in the public domain other than due to a breach of this Agreement; or
(c) where the disclosure is required by Law.
18.2 The obligations in this Confidentiality clause will survive the termination or expiration of Your Ambassadorship.
19. Privacy
19.1 Information provided for this program, including personal information, will be collected and used by the Study Melbourne and Our partners for the purposes of assessment of eligibility for this program.
19.2 Study Melbourne will be collecting personal information such as Your name, Your contact details, Your resume, Your image and Your video presentation on the application form. Study Melbourne will be using this information to review applications, and for successful Applicants the use will be for program scheduled events (that Ambassadors participate in), including for promotional or marketing activities involving Ambassadors and to share with Our partners such as Study Australia, and the Minister’s Office and their staff in the evaluation, promotion or reporting of Our program.
19.3 By supplying Your image, you are consenting to the use of it as part of Study Melbourne and the Department of Jobs, Skills, Industry and Regions (DJSIR) media authorisation. This authorisation requires the media authorisation consent form to be provided to successful applicants and for these applicants to sign and return the form prior to their engagement as an Ambassador.
19.4 You agree that You will not have the right to review or pre-approve the use of Your image as part of the Program and that You will not make any claim for payment or fees in relation to the use of Your image and release Study Melbourne, its employees and agents from any liability arising out of such use.
19.5 In the collection of personal information, it will be securely stored in databases that will be located in Australia and USA.
19.6 Any personal information about the applicant applying will be collected, held, managed, used, disclosed or transferred in accordance with the provisions of the Privacy and Data Protection Act 2014 (Vic) and other applicable laws.
19.7 Enquiries about access or correction to Your personal information, or for other concerns regarding the privacy of personal information and the department’s privacy policy can be emailed to privacy@ecodev.vic.gov.au and is available at https://studymelbourne.vic.gov.au/privacy
20. Termination of Ambassadorship
20.1 (Expiry) Except for any provisions which are expressed to survive the termination or expiry of Your Ambassadorship, Your Ambassadorship (if applicable) and these terms and conditions will automatically expire on 31 December 2025.
20.2 (Termination by Study Melbourne) At any point, for any reason and without advanced notice, We may terminate Your Ambassadorship with immediate effect by providing You with written notice of termination. Without limiting the foregoing:
(a) any breach of these terms and conditions or failure to fulfil the Ambassador Requirements to Study Melbourne’s satisfaction will result in immediate termination of Your Ambassadorship; and
(b) We may terminate Your Ambassadorship with immediate effect, by providing written notice to You, if in Our reasonable opinion, continued association with You may bring Study Melbourne or the State into disrepute.
20.3 (Termination by Ambassador) At any time and for any reason, You may choose to terminate Your Ambassadorship with immediate effect by providing Us with written notice of termination.
21. Effects of termination or expiration of Ambassadorship
Immediately upon termination or expiry of Your Ambassadorship, the title of Ambassador shall be revoked and You must stop using the title of Ambassador and must not present Yourself as being affiliated with the Program or Study Melbourne in any way other than as a user of Study Melbourne services. In addition, You must remove and cease to use all trade names, trade marks, logos, and other brand features of Study Melbourne on Your online and offline profiles and materials as soon as reasonably practicable.
22. Email communication
All communication from Us to You regarding Your application and, if successful, participation in the Program will be via the email address You provide in Your application (or any updated address You notify to Us). If Your email address changes, You must immediately advise Us, so that Your address can be updated. You consent to receive all email messages We send You as part of Your participation in the Program. All email messages will be taken to be received by You within 2 business days of Our computer recording that transmission to Your email address was successful.
